Link a Course to Additional Organizations or Job Positions

After a course has been added to an Organization or Job Position, it can be linked to additional Organizations or Job Positions, provided the Organization is linked with the course's VISION project and any Job Positions are mapped to the course's Work Area (hierarchy.) Course Events for the course will be specific to a particular Organization or Job Position, and are themselves not shared.

The user making the link to additional Organizations or Job Positions must also be a Site Administrator level user or higher, with administrative rights to the Organization in VLS. The user must also have rights in the VISION project to make the link between the course and the Organization/Job Position.

 

Viewing Courses Linked to more than one Organization or Job Position

Organization Courses

Shared Organization specific courses appear like any other Courses from the Administration > Courses area. Shared courses will appear together when no organization filter is applied, and separately by organization when an organization filter is applied. Note that in the example below, the same shared course is displayed in separate rows for each organization, but that they share the same ID.

Job Position Courses

When viewed from the Courses page of the Administration area, Courses will display the Organization(s) to which they are linked in the record row. Expanding any Course Events records will likewise display the Organization and Job Position with which the Course Event is associated.

How to Link a Course to an Organization

To link a Course to an additional Organization, first be sure that all the requirements for doing so are met:

The course is Approved.

The course is linked directly to another Organization and not linked to any Job Positions.

The project containing the course has been added to this Organization (Use the "Projects" link above).

 

Steps

1.Select the Organizations top menu item from the Administration area.

2.Select the second Organization to which you want to link an Organization specific course.

3.Click "Link Course to Organization" in the top sub-menu.

4. From the available Courses, select those you want to link, and click the "Link Selected Courses" button.

 

How to Link a Course to a Job Position

To link a Course to a Job Position, first be sure that all the requirements for doing so are met:

The Course is Approved.

The course is linked directly to another Job Position in the organization.

The project and work areas containing the course are mapped to this Job Position (Use the "Map To Hierarchy" button on the "Properties" tab for this job position).

Note: Only courses for which you have project access for will appear in this list.

 

Steps

1.In the Organization Hierarchy, select the Job Position to which you want to link a Course.

2.On the Job Position page, select the Job Courses tab.

3.Click the "+ Link Course to Job" button.

4.From the available Courses, select those you want to link, and click the "Link Selected Courses" button.
